ASAP - Your Logo & Tabling Needs
As soon as possible please:
- Send a high resolution version of your organization’s logo to knspear@mayorsinnovation.org. Please have the representatives attending the conference register here as a confirmed sponsor (which will waive the registration fee. You’ll pay your sponsorship by responding to an invoice attached to a separate email.).
- Our main venue (the Madison Public Library – Central) includes adequate space for us to offer you a tabling opportunity. You may bring any materials you’d like to display – tablecloths, banners, sign up materials, case studies. Please let us know as soon as possible if you’d like to take advantage of this tabling opportunity, and if you would prefer your physical materials (case studies, brochures, etc.) be included in the welcome bags or available at your table. The deadline to confirm your table is July 10th.
Digital Materials for Conference Site - Deadline: June 22, 2026
Gold sponsors receive recognition in our national email newsletter, our website, and a social media mention prior to the meeting.
Please email us at info@mayorsinnovation.org by June 22, 2026 with the following information to be included on our conference site:
- Any logos, colors, or design elements you would like us to use (or avoid),
- Optional: A concise description of what your organization does,
- Optional: Headshots of individuals attending, along with their preferred contact information and a short (<100 word) bio if desired,
- Optional: A short video (<2 mins) talking about your work/highlighting your attendance,
- Optional: Details on any specific webinar, event, or project you would like us to highlight in our newsletter (including website URLs and associated graphics),
- Optional: Up to two digital marketing materials (such as articles, reports, or promotional materials, etc.) that you would like to share with attendees. We will put these on flash drives for attendees and link them on our website.
Opportunity to Speak - Deadline: July 10, 2026
As a gold sponsor, your sponsorship includes a 5-minute speaking opportunity during one of our signature events.
Speaking opportunities include the welcome reception on 7/22, panels on 7/23 and 7/24, Innovation Showcase on 7/23, or breakfast on 7/24. Specific time slots are offered on a first come, first choice basis.

You are welcome to use slides and audio/visual aids for your presentation. If your presentation will require A/V or other equipment, please send us your slides and let us know your needs to ensure we have the appropriate slides by July 10th.
Meeting Passes - Deadline: July 10, 2026
Your gold sponsorship includes two full meeting registration passes.
Please ask each individual who will attend to register as a “confirmed sponsor” (via the last question in the registration form) by no later than July 10, 2026.
Printed and Branded Materials - Deadline: July 20, 2026 (arrival to MIP)
As a gold sponsor, we will display a custom individual sponsor board with your logo on site and display your logo on our Summer Meeting webpage. Additionally, we will distribute both print and branded marketing materials from your organization to all meeting attendees. You are welcome to share one printed item (up to 10 pages in length) and branded materials for our gift bags.
- Print materials: Print materials may include one-pagers, reports, flyers, postcards, etc. Ship 100 copies of your print material of choice to our office. We will include the materials we receive in each attendee’s meeting information packet. For print materials to be included in attendee packets, they must arrive to our office no later than July 20th.
- Branded items: Branded materials may include pens, stress balls, hand sanitizer, bandanas, screen cleaning cloths, candy tins, etc. If you wish to include branded items, please ship 100 of your item of choice to our office. These items must arrive to our office no later than July 20th, 2026 to be included in conference gift bags.

Advance Access to Meeting Attendee List
As a gold sponsor, you will receive early access to our attendee list. Here is the list of current registrants.
Important Deadlines:

- Please have the representatives attending the conference register as soon as possible. You are welcome to view our list of current registrants here.
- Let us know when you would like to speak at the conference.
- Please let us know if you’d like to table at the conference and if you would like your materials included at your table or in the conference gift bags. The deadline to confirm this opportunity is July 10th.
- By June 22nd – Please send us all of the information you would like to be included on our conference site. This information will go out to conference attendees in advance of the meeting so that they are prepared to engage with you.
- By July 10th – Please register all attendees, send us your slides and any digital materials you would like us to put on our flash drives, and send us any text and images you would like to include on our website or newsletter in advance of the conference.
- By July 20th – Please send your printed materials and gift bag “swag” to the hotel by 4pm. Please ship materials to our address:
